Purpose

This document describes Diamond W Roofing’s general service practices and the standard terms that may apply to roofing work. It is intended for business onboarding and compliance review and may be provided with a project-specific proposal or service agreement.

These general terms do not replace a signed project contract, certificate of insurance, W-9, permits, licenses, registrations, safety records, or other documents specifically requested by a customer or compliance reviewer.

Project-specific pricing, schedules, warranty coverage, insurance limits, and credentials must be confirmed in the applicable supporting documents.

1. Company & Service Overview

Diamond W Roofing provides roofing-related services for residential, commercial, and multifamily properties in Houston and other Texas service areas.

Our company emphasizes workmanship, communication, property protection, and customer service.

2. Scope of Services

Services are offered as appropriate to the property, roof system, site conditions, and written project scope.

Services may include:

  • Roof Inspections and Integrity Checks: Visual assessment of accessible roofing components, identification of observed concerns, and recommendations for repair or further evaluation.
  • Roof Repair: Repair of identified roof leaks or damaged roofing components, subject to inspection and an agreed written scope.
  • Roof Replacement and Installation: Removal, preparation, and installation of roofing systems described in the approved proposal.
  • Roofing Systems and Materials: Asphalt shingles, metal, tile, flat roofing, TPO, and modified bitumen, as suitable for the project.
  • Commercial and Multifamily Roofing: Roofing work for business properties, apartment communities, and other multi-unit buildings.
  • Storm and Emergency Services: Assessment and, when agreed and available, temporary or permanent work to address storm-related roofing concerns.
  • Insurance-Claim Project Support: Roof-condition documentation, estimates, and project communication related to a customer’s insurance claim.

The property owner remains responsible for communicating with and making coverage decisions through their insurer.

3. Estimates, Proposals & Authorization

  • Before work begins, the customer should receive a written proposal, work order, or contract describing the property, roof system, scope of work, materials or allowances, price, payment milestones, and applicable exclusions.
  • No material change to the agreed scope or price should be treated as approved unless documented in a written change order or other written authorization accepted by the customer and Diamond W Roofing.
  • The customer authorizes only the work described in the signed proposal or approved change order. Verbal discussions do not expand the scope unless confirmed in writing.
  • Estimates are based on conditions reasonably observable at the time of inspection. Concealed damage or unforeseen site conditions may require additional work and a written change order.

4. Project Scheduling & Site Conditions

  • Start and completion dates are estimates unless the project agreement expressly identifies a guaranteed date.
  • Work may be delayed by weather, unsafe conditions, material availability, permitting or inspection requirements, hidden damage, or events outside reasonable control.
  • The customer should provide reasonable access to the work area, identify known hazards or site restrictions, and secure pets, vehicles, and personal property as appropriate.
  • Roofing work may involve noise, vibration, dust, debris, and temporary limits on access to portions of the property. Diamond W Roofing will use reasonable care to manage the work area.

5. Payment Terms

The payment amount, deposit (if any), progress payments, final payment due date, and accepted payment methods must be stated in the project-specific proposal or contract.

This general document does not establish a fixed deposit percentage, finance charge, late fee, or payment schedule.

  • Invoices are payable according to the due dates and milestones stated in the signed project agreement.
  • Any approved additional work, upgrades, or concealed-condition repairs may change the contract price and should be documented in a written change order before the additional work proceeds, except where immediate action is reasonably necessary to protect people or property.
  • The customer should raise any invoice question promptly and identify the disputed item in writing. Undisputed amounts remain subject to the project agreement.

6. Materials, Substitutions & Workmanship

  • Materials will be those identified in the approved proposal, including the stated manufacturer, product line, color, profile, and applicable accessories when specified.
  • If a specified material becomes unavailable, any substitution should be disclosed to the customer and approved in writing before installation.
  • Installation will be performed in a workmanlike manner consistent with the agreed scope, applicable manufacturer instructions, and applicable building requirements.
  • Existing roof decks, framing, ventilation, flashing, drainage, and other concealed or pre-existing components may affect the performance of a roofing system. Any work on such components must be included in the project scope or authorized separately.

7. Warranties & Service Requests

Warranty coverage is project-specific and must be confirmed in the signed proposal, warranty certificate, or other written project documentation.

Manufacturer product warranties, if available, are provided by the manufacturer and are subject to that manufacturer’s terms, registration requirements, exclusions, and maintenance conditions.

Any Diamond W Roofing workmanship warranty must be stated in writing with its duration, covered work, exclusions, and claim procedure.

  • A customer requesting warranty service should provide the property address, project date, description of the concern, and photographs where reasonably available.
  • Prompt notice is encouraged so the condition can be assessed. Emergency measures taken by others should be documented and, where practical, discussed with Diamond W Roofing beforehand.
  • No warranty should be assumed from this general terms document where no written project warranty has been issued.

8. Property Protection, Cleanup & Safety

  • Reasonable care will be used to protect landscaping, driveways, exterior surfaces, and nearby property; however, roofing work carries inherent risks from falling debris, vibration, and access equipment.
  • The work area should be kept clear of occupants, visitors, and unauthorized personnel while work is underway.
  • Roof access is restricted to authorized personnel. Customers and occupants should not enter active work zones or climb ladders or scaffolding used by the crew.
  • Debris and job-related waste will be handled as described in the project proposal. Final cleanup and any magnet sweep or haul-away service should be confirmed in the project scope.

9. Customer Responsibilities

  • Provide accurate project information, reasonable access, and timely decisions or approvals.
  • Disclose known leaks, prior repairs, structural concerns, hazardous materials, utility locations, and site-specific rules.
  • Move or protect fragile items in attics, garages, patios, and areas beneath the roof where vibration or dust may occur.
  • Review project documents and promptly report concerns about the work or site conditions.

10. Weather, Emergencies & Unavoidable Delays

Roofing work is weather-dependent. Work may be suspended when rain, wind, lightning, extreme temperatures, or other conditions create an unreasonable safety or quality risk.

Emergency response availability and response times depend on crew capacity, site conditions, and weather.

Temporary protective measures are not a substitute for a permanent repair unless the written scope expressly says otherwise.

11. Cancellation, Termination & Disputes

  • Any cancellation right, restocking charge, mobilization cost, or termination fee must be stated in the signed project agreement and applied in accordance with applicable law.
  • If a concern arises, the customer and Diamond W Roofing should first attempt to resolve it through good-faith written communication and a reasonable opportunity to inspect the work, where appropriate.
  • Nothing in this document waives rights or remedies that cannot lawfully be waived. Applicable Texas and local law governs the project agreement, subject to any valid written dispute-resolution provision.

12. Insurance, Licensing & Compliance Documentation

For vendor onboarding, Diamond W Roofing can provide applicable supporting records upon request and subject to availability.

A compliance reviewer may request current documents separately from these terms, including:

  • Certificate of insurance (COI) showing the insured legal entity, policy periods, coverage types, and limits required by the customer.
  • Workers’ compensation documentation or a lawful exemption or alternative document, as applicable.
  • Completed W-9 and legal business or tax information.
  • Applicable local permits, registrations, trade credentials, or voluntary industry certifications required for the project or customer site.
  • Safety programs, job hazard analyses, training records, or site-specific safety acknowledgments, if required.

Credential Verification: These terms do not constitute proof of insurance, licensure, bonding, workers’ compensation coverage, or certification. Such statuses must be established by current documentation issued by the relevant insurer, agency, or credentialing organization.

Texas roofing contractor credential requirements and local project rules should be checked for the specific work and jurisdiction.

13. Entire Project Agreement & Order of Precedence

The signed proposal or project contract, approved change orders, applicable warranty documents, and any customer-required site rules govern the specific project.

If these general terms conflict with a signed project agreement, the signed project agreement controls to the extent of the conflict, unless prohibited by law.

14. Acknowledgment

By signing a project acknowledgment, the parties acknowledge receipt of these general terms and conditions. Such acknowledgment does not independently authorize work or replace a project-specific contract.

Where required, customer and Diamond W Roofing representative signatures, printed names, and dates should be recorded in the applicable project documentation.
